Great events feel effortless precisely because someone sweated the checklist. Steal this one.
T-minus 1 day: reconfirm artist pickup times in writing, charge every device twice, print one physical guest list as ultimate backup, and download your offline scanner manifest — venue basements eat networks for breakfast.
3 PM walkthrough (for an evening show): walk the customer's exact path — parking, entry, scan point, washrooms, bar, exit. Every friction you find now is a complaint you prevented.
Gate architecture: one scanner handles roughly 4–5 entries per minute. A 1,000-person crowd needs three lanes minimum, plus a separate resolution desk so one confused booking never blocks ninety smooth ones. Green tick, wristband, in — the whole loop under ten seconds.
Radio discipline: three WhatsApp groups only — Core (five people max, decisions), Gates, Production. Everything else is noise.
The problems you should pre-solve: duplicate-scan disputes (the timestamp settles it), name mismatches (ID plus booking email), VIP walk-ins with no ticket (one senior person owns this call, nobody else).
During the show, watch your live check-in dashboard: it tells you when to release hold-back inventory, when to push last-call bar messaging, and exactly how your arrival curve compares to last time.
Post-event within 48 hours: thank-you message with photos, review request while memories glow, and a fifteen-minute team debrief. The notes you take tonight are next event's head start.
